Administrative Assistant

England, United Kingdom Full-time Posted 1 hour ago

Looking for a varied role with the flexibility of working remotely?

If you have excellent attention to detail, thrive in a fast-paced environment and enjoy making a real difference, this could be the role for you. This is a predominantly remote position, offering the flexibility of working from home, with occasional travel primarily across the South West.

Who are we?

At Transvault, we transform data into power advantage. For more than 20 years we have set the benchmark in enterprise email archive migration and, and now we are extending that legacy into AI governance and compliance. We combine world-class technology with unrivalled expertise to deliver outcomes that minimise risk and maximise competitive advantage.

The Role

We're looking for a highly organised and detail-oriented Administration Assistant to join Transvault on a fixed-term basis for 9 months as a maternity cover contract.

This is a varied role at the heart of the business, supporting finance, administration, compliance and operational activities. You'll play a key role in keeping our internal processes running smoothly, ensuring records are accurate, documentation is maintained, and colleagues across the business receive effective administrative support.

You'll work closely with leadership, finance, operations and service delivery teams, helping to ensure excellent standards of governance, customer service and operational efficiency. Success in this role comes from being proactive, organised, dependable and committed to delivering high-quality work.

What You’ll Need

This role touches Finance, Compliance and Operational processes from day one, so we do need someone who can hit the ground running.

The essentials below matter most, but things like specific systems experience or ISO knowledge, we can teach you. What we can't teach is attention to detail, reliability, and a genuine interest in getting things right.

So, if your experience doesn't tick every box but you think you'd be great at this, apply anyway. We'd rather meet someone with the right approach and a few gaps than rule someone out based on the experience listed on their CV.

Essential

  • Previous experience in an administrative, office support or finance administration role.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Excellent attention to detail and accuracy.
  • Confident using Microsoft Office applications, particularly Outlook, Word and Excel.
  • Strong written and verbal communication skills.
  • Experience maintaining records, databases or business systems.
  • Ability to handle confidential information with discretion.

Desirable

  • Experience processing invoices, reconciliations or other finance administration activities.
  • Experience working with CRM, ERP or finance systems.
  • Knowledge of ISO standards, compliance processes or quality management systems.
  • Experience supporting project administration activities.
  • Experience coordinating meetings, events or executive diary management.

Key qualities for success in this role

  • Exceptionally organised and methodical.
  • Reliable and dependable with a strong sense of ownership.
  • Detail-focused with a commitment to accuracy.
  • Flexible and adaptable in a varied role.
  • Proactive and solution oriented.
  • Collaborative and approachable.
  • Comfortable working independently in a remote environment.

If your experience doesn't tick every box but you think you'd be great at this, apply anyway! We want to meet the right person; we can teach you what we need to do about the role.

Working pattern

This is a remote role, with occasional travel, predominately in the South West.

Monday - Friday, 30 hours per week.
