Role Description

We are looking for a friendly, organised and proactive Administrator to join our team in Esher. This is a varied role that is central to the smooth day-to-day running of our office, providing administrative support to colleagues while delivering a professional and welcoming experience for our clients.


This position is offered on a part-time basis, with a minimum commitment of 22.5 hours per week (three days), based at our Esher office. We are happy to consider candidates seeking additional hours, depending on their availability and the needs of the business. We can offer flexibility in how these hours are worked.

Salary:£15,000 per annum (based on 22.5 hours per week), with the salary adjusted on a pro-rata basis for candidates working additional hours.


Key Responsibilities

  • Scanning and electronically filing documents.
  • Receiving, sorting, and distributing incoming post.
  • Preparing and sending outgoing post.
  • Forwarding client correspondence to the appropriate recipients.
  • Ordering and maintaining office supplies.
  • Monitoring and responding to shared company inboxes and information/portal emails.
  • Drafting routine correspondence, including fee quotations and reminder letters.
  • Maintaining and monitoring client records and physical file storage.
  • Greeting clients upon arrival for meetings and offering refreshments.

 

Qualifications

  • Previous experience in an administrative, office support, reception, or customer service role.
  • Excellent written and verbal communication skills, with a professional telephone manner.
  • Strong organisational and time management skills, with the ability to prioritise a varied workload.
  • High level of accuracy and attention to detail when handling documents, correspondence, and client records.
  • Proficiency in Microsoft Office applications, particularly Outlook, Word, and Excel.
  • Experience managing shared inboxes and responding to enquiries in a timely and professional manner.
  • Ability to draft clear and accurate routine correspondence.
  • Excellent interpersonal skills with a welcoming and client-focused approach.
  • Ability to work independently, use initiative, and collaborate effectively as part of a team.
  • A professional, reliable, and proactive approach to work.
  • Ability to handle confidential and sensitive information with discretion and integrity
