Position: Domiciliary Care Operations Assistant

Reporting To: Registered Domiciliary Manager

Location: Office based in Portadown / Community Care around Southern Trust

Hours: 40 hours (20 hours office based / 20 hours community care hours)

To provide flexible operational, administrative, and community care support within the domiciliary care division, ensuring the service operates effectively across both office and frontline care environments. The postholder will support the delivery of safe, responsive, and person-centred care services while assisting with the day-to-day operational requirements of the branch.

This is a hybrid role combining office-based operational duties with direct community care responsibilities. The successful candidate will be expected to work flexibly across a 7-day service and participate in the out-of-hours on-call rota. It is envisaged that the role will be split 50/50 between office-based duties and field-based duties i.e. 20 hours office, 20 hours care.

Experience/Qualifications/Licenses:

(holding or working towards is a distinct advantage)

  • Minimum 6 months experience within domiciliary care or social care services
  • Full UK driving licence
  • Access to a vehicle and insured for business use

Non-Negotiable Skills & Attributes Required:

  • Strong organisational and administrative experience.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Flexible and adaptable approach to work.
  • Competent IT skills including Microsoft Office and electronic systems..
  • Willingness to participate in the on-call rota and emergency call cover.

Person Specification - Desirable Criteria:

  • Knowledge of RQIA standards and domiciliary care compliance requirements.
  • Experience supporting audits or inspections.
  • Experience using care management or rota systems.
  • NVQ/QCF Level 2 or 3 in Health & Social Care.

CORE RESPONSIBILITIES:

Administrative & Operational Support

  • Provide comprehensive administrative support to the domiciliary care division.
  • Support the day-to-day operational running of the branch.
  • Ensure all documentation, systems, records, and resources are maintained accurately and up to date.
  • Assist with onboarding paperwork for service users and staff.
  • Support rota coordination and continuity of care planning.
  • Maintain effective communication between office staff, carers, service users, and management.
  • Ensure policies, forms, and operational documents are readily available.

Community Care Responsibilities

  • Deliver high-quality person-centred care to service users within their own homes.
  • Support service users with personal care, meal preparation, medication prompts, mobility support, companionship, and daily living activities.
  • Promote dignity, independence, choice, and respect at all times.
  • Accurately complete care records and report any concerns appropriately.
  • Respond professionally and compassionately to emergency situations where required.

Call Cover Responsibilities

  • Provide direct cover for care calls where operationally required.
  • Support continuity of care during sickness, annual leave, emergencies, or staffing shortages.
  • Respond flexibly to short-notice service demands.
  • Travel throughout the service area as required to support service delivery.
  • Maintain professional standards and safe working practices while covering calls.

On-Call Responsibilities

  • Participate in the out-of-hours on-call rota approximately one week per month.
  • Respond appropriately to staffing concerns, emergencies, and operational issues.
  • Be prepared to provide emergency call cover during on-call periods when required.
  • Escalate significant concerns to management where appropriate.

Working Pattern & Flexibility

  • This role does not operate on a fixed working pattern.
  • Employees will be rota'd weekly in line with operational requirements.
  • The successful candidate must be flexible to work across weekdays, evenings, weekends, and community-based shifts.
  • Flexibility is an essential requirement due to the nature of domiciliary care service delivery.

Group Policy & Governance Compliance: Adhere to and support all company policies, processes, governance and audit requirements.

Role Process Adherence: Follow your role specific HOW manual, and all relevant Kingdom Support Centre processes, without exception.

Financial Governance & Spend Control Adherence: Ensure all spending is authorised in line with the FI09 spend matrix along with a valid purchase order and meets governance rules.

Insightful Reporting: Provide as required to role, accurate and timely management information to support personal performance reviews, coaching, and senior level decisionmaking

Social Media: Adhere to POL020, actively engage with Kingdom posts, and share positive updates with the Social Media team
