Responsible to: schuh President
Department: Executive Office / People Team
Location: schuh HQ, Livingston - 4-5 days in office to reflect President’s work schedule
Purpose of the Role: We are seeking a highly organised, proactive and discreet Executive Assistant to provide confidential support to the President and wider schuh Leadership Team.
This role is integral to ensuring the smooth and effective day-to-day operation of senior leadership activities, enabling leaders to focus on strategic priorities and business performance. The Executive Assistant will manage a busy diary, coordinate travel and meetings, manage expenses and administration, and support Leadership Team and Board activities.
The role requires excellent organisation, judgement and discretion, together with a flexible and practical approach. The successful candidate will be comfortable working at pace, managing changing priorities and stepping in to support the wider team when required.
Main Responsibilities:
- Coordinate meetings, appointments, events and other business commitments, prioritising meetings and resolving conflicts proactively.
- Prepare and distribute agendas, papers and supporting documentation.
- Attend meetings where required, take accurate minutes and maintain clear actions and follow up appropriately.
- Support the preparation and formatting of reports, presentations and communications.
- Help maintain an organised and effective working environment for the President and wider Leadership Team.
- Manage UK and international travel arrangements, including flights, transport, accommodation and detailed itineraries.
- Manage expenses, invoices and other day-to-day administration accurately and promptly.
- Coordinate store and business visits, conferences and external meetings.
- Maintaining a high degree of discretion, integrity and confidentiality along with the ability to confidently handle sensitive information.
Skills and Attributes:
- Excellent organisational and time-management skills, with the ability to manage competing priorities.
- Strong written and verbal communication skills with excellent attention to detail and a consistently high standard of work.
- Willingness to respond to urgent matters outside normal working hours, particularly around travel, meetings or significant business activities
- Confidence in working independently, remaining proactive and responding to changing priorities
- Strong interpersonal skills and confidence communicating with stakeholders at all levels.
- Advanced capability in Microsoft Outlook, Word, PowerPoint and Teams.
