Role Purpose

The Accounts Administrator is responsible for maintaining accurate, complete and compliant account master data within 3E, including supplier and client account records where required. The role supports the smooth operation of the Accounts Department by ensuring records are created, amended, reviewed and controlled in line with internal policies, approval workflows and audit requirements. The role may also support periodic client account reviews, helping to ensure account information remains accurate, current and appropriately evidenced.

Key Responsibilities

  • Create, maintain and update account master records in 3E, ensuring supplier and client account details are accurate and supported by appropriate documentation.
  • Process new account set-up requests, amendments and deactivations in accordance with internal controls and agreed service levels.
  • Verify key account information, including entity details, addresses, bank account information, VAT or tax references, payment terms and contact details.
  • Review requests for completeness, accuracy and appropriate approval before making changes in 3E.
  • Maintain strong controls over sensitive account data, particularly bank details, to reduce the risk of fraud, duplicate payments and processing errors.
  • Work closely with Accounts Payable, Cashiers, Finance Systems and business users to resolve account data queries and discrepancies.
  • Carry out regular data quality checks, cleansing activity and duplicate account reviews to improve the integrity of master data.
  • Support payment and account processing by ensuring records are correctly configured for payment method, currency, tax treatment and remittance or account information.
  • Complete or support client account reviews, checking account details, supporting documentation, activity and required approvals in line with internal procedures.
  • Maintain clear records of account set-up, amendment and review activity to support audit, compliance and reporting requirements.
  • Contribute to process improvements, documentation and training materials relating to account master data and review procedures in 3E.

Controls, Compliance and Data Governance

  • Ensure all account master data changes are completed in line with segregation of duties, approval controls and Accounts Department policies.
  • Escalate incomplete, unusual or high-risk account requests promptly to the appropriate manager.
  • Support internal and external audit requests by providing accurate evidence of account creation, amendment, review and approval history.
  • Handle supplier and client account information confidentially and in accordance with data protection and information security requirements.

Skills And Experience

  • Previous experience in accounts administration, accounts payable, client account administration, supplier management or master data administration.
  • Experience using 3E, Elite 3E or a similar legal finance, ERP or practice management system is desirable.
  • Strong attention to detail and a high level of accuracy when handling account, supplier, client and payment information.
  • Good understanding of accounts processes, master records, payment terms, client account controls and financial procedures.
  • Confident communicator with the ability to liaise professionally with internal stakeholders and, where required, external suppliers or clients.
  • Organised and able to manage multiple requests while meeting deadlines and service level expectations.
  • Competent user of Microsoft Excel and comfortable working with data, reports and reconciliations.
  • Discreet and trustworthy when handling sensitive financial, supplier and client account information.

  • Audit evidence is well maintained and readily available when required.
  • Internal stakeholders receive a reliable, professional and responsive service.
