Logistics and Inventory Analyst
Purpose of the Role
As the Logistics and Inventory Analyst for Phoebe Philo, you will support the day-to-day running of our warehouse, global carriage and inventory operations, including the coordination and management of packaging inventory.
You will ensure that delivery timelines and SLAs are met by our external logistics partners, monitor stock holding across product and packaging, oversee outbound and return deliveries, and process all administration related to these areas.
You will be a key point of contact for internal stakeholders regarding logistics, inventory and packaging activities, while leading the creation and distribution of timely, accurate and insightful reporting to support operational efficiency, stock availability and continuous improvement across the wider business.
Responsibilities
Logistics Operations
- Daily reporting and monitoring with key internal stakeholders of outbound and return shipments across all channels.
- Liaise daily with our 3PL warehouse to monitor timely operational processing.
- Manage internal orders for the business, including staff orders, press requests, and arranging of special delivery services.
- Creation and monitoring of effective reporting to identify missing product data required for compliant export and sales of our product, as well as communication with internal teams to close these gaps within agreed timelines.
- Collaborate on request lead times and quality control measures to ensure a seamless supply chain, and to coordinate storage requirements, considering our warehouse capabilities.
- Evaluate and improve internal processes and system functionality on a regular basis.
- Support continuous improvement activities involving our 3PL warehouse processes, as well as our wider supply chain processes, to reduce costs, optimise sales and improve our customer experience.
- Support system enhancements, implementation and testing by gathering operational feedback from stakeholders and helping ensure inventory and reporting processes are fit for purpose.
- Lead the creation and updating of reports for our Logistics team across multiple platforms and ensure their distribution to wider internal and external stakeholders, while providing insightful analysis of trends and identifying opportunities for improvement.
- Establish and maintain strong relationships with our 3PL.
Shipping & Returns Coordination
- Support the Logistics Assistant to manage orders encountering delivery issues by implementing solutions to ensure timely resolutions.
- Action process improvements to mitigate issues identified regarding the transport and customs clearance of outbound and return orders across channels.
- Support the Logistics Assistant to compile all required shipping documentation and distribute this to relevant carriers, freight forwarders and customers.
- Communicate customer quality feedback to Customer Service, Production and the 3PL, supporting investigations and follow-up actions where required.
- Support the Logistics Assistant in streamlining workflows with Customer Service and Private Client teams to improve process efficiency and issue resolution.
- Carry out ad hoc tasks as the business grows.
Inventory Coordination
- Coordinate packaging inventory planning, including monitoring packaging stock levels, reorder points and replenishment schedules to ensure sufficient availability for fulfilment, launches and business requirements.
- Ensure optimal utilisation of space at our 3PL warehouse and ensure necessary storage is always available by liaising with our Production, Finance and Merchandising teams to accurately forecast 3PL stock levels and storage requirements.
- Conduct regular reconciliations of product and packaging stock to identify discrepancies, implement corrective actions and improve stock record accuracy while minimising losses.
- Support the timely reallocation of stock across channels to maximise product availability and sales potential.
- Generate and analyse inventory performance reports, identifying key trends, opportunities, and areas for improvement. Provide actionable insights to support informed decision-making and continuous improvement.
- Review and maintain product compliance information within inventory records, ensuring data accuracy and visibility of regulatory and quality requirements. Work collaboratively with relevant teams to support compliance monitoring and inventory integrity.
- Monitor inbound, available and returned stock to support high product availability and timely stock updates across systems and sales channels.
- Provide guidance and training to internal stakeholders on how to access inventory information, check stock levels and produce or distribute relevant reports.
- Create stock risk reports to identify slow-moving, non-moving or at-risk stock, and share analysis with internal stakeholders to support mitigation actions.
- Work with the 3PL to investigate discrepancies, reduce stock loss and improve stock control processes.
Measures of Success
- Maintain high levels of product and packaging inventory accuracy between systems and physical stock holding through regular reconciliation and timely discrepancy resolution.
- Maximise order fulfilment by ensuring product and packaging availability across all channels including proactive monitoring of stock risks, replenishment needs and packaging readiness.
- Provide accurate, timely and insightful reporting that is used by internal and external stakeholders to support decision-making, improve visibility and identify opportunities for improvement.
- Minimise stock loss through effective stock control, reporting, investigation and collaboration with the 3PL.
- Support timely resolution of customs clearance issues for outbound and return shipments.
- Reduce resolution time for logistics-related customer claims and delivery issues through proactive monitoring and cross-functional communication.
- Ensure all administrative responsibilities are completed accurately within agreed timeframe.
Qualifications, Skills and Experience Required
- Previous strong logistics experience in retail, FMCG or similar.
- Experience in stock control operations handling multiple SKUs is advantageous.
- Experience in coordinating 3PL stock operations.
- Advanced knowledge of Microsoft Excel is essential, with strong competency in reporting, data analysis and Microsoft Office applications.
- Knowledge of customs clearance procedures is helpful.
- Ideally to have experience with Brightpearl, and/or other ERP/WMS systems.
- Strong written and verbal communication skills with the ability to work across internal and external stakeholders.
- Excellence in working under pressure and delivering on multiple priorities.
- Flexibility to travel to our European warehouse.
- Italian language is a plus.
- Customer service experience is beneficial.
