As our Office Manager, no two days will be the same. You will oversee our daily administrative operations, act as the first point of contact for our clients, and provide vital support to our Directors and wider team.
Your responsibilities will span five key areas:
Office & Facility Management
- Act as the welcoming "voice of the company," managing the main inbox and handling inbound/outbound client enquiries.
- Keep the office running smoothly, including ordering supplies, stationery, uniform inventory, and company merchandise.
- Liaise with IT, phone providers, and building personnel; manage utilities and business rates.
HR, Onboarding & Team Support
- Coordinate with our external HR advisors (Citation) to ensure compliance.
- Lead the onboarding process for new hires (contracts, DBS checks, and uniform setup).
- Manage staff timesheets, holiday requests, hour records, and general payroll/expense administration.
- Attend and take minutes for staff appraisals, disciplinary meetings, and management syncs.
Executive PA & Operations Support
- Provide dedicated PA support to the Directors, including complex diary management and scheduling video calls/survey meetings.
- Assist the operations team with customer and scaffolder communications.
- Handle travel and accommodation booking for project teams, alongside pre- and post-project paperwork.
Recruitment & Mentorship
- Support Directors with recruitment: creating job postings, vetting applications, and conducting interviews.
- Oversee, mentor, and guide office staff to ensure they are confident and succeeding in their roles.
Company Culture & Compliance
- Plan and organise company social events, dinners, and staff treats!
- Manage company insurances and critical industry accreditations (e.g., MCS, Which?, ISO9001).
- Handle basic social media management, marketing administration, and write SEO-based articles for our website.
What We Are Looking For
You have a proven track record in office management, senior administration, or a PA role.
- You possess excellent communication skills and can confidently mentor junior staff while managing external client relationships.
- Comfortable working with CRM systems, digital diaries, and social media platforms.
- Basic bookkeeping, expense processing, and invoice management experience is essential.
- You don't wait to be told what to do, you see a gap and fill it with high attention to detail.
Salary
£28,000 - £31,000 DOE
