The Office Manager exists to ensure our office functions seamlessly as a professional, welcoming space that reflects COPA90's values and supports our team to do their best work. This role sits at the heart of how our team experiences their working day — anticipating needs, solving problems before they arise, and maintaining spaces that feel both professionally polished and genuinely warm.

  • Professional Environment & Brand Confidence

Ensuring our office consistently presents a professional, organised and welcoming appearance that reflects COPA90's standards, creating confidence with colleagues, clients, and prospective talent, and setting the tone for how our team approaches their work.


  • Operational Efficiency & Team Productivity

Anticipating and removing barriers that slow down our team's work. This means robust inventory management, workstations equipped with essential supplies, meeting rooms ready to go, and proactively identifying what the team needs before they ask. You eliminate friction so people can focus on their work.


  • Health & Safety Compliance

Managing day-to-day health and safety in accordance with UK requirements. You ensure compliance, conduct routine safety checks, maintain proper documentation, and address hazards promptly, protecting both our team and the business.


  • Budget Management & Cost Optimisation

Managing office operations spend effectively and identifying cost-saving opportunities. You negotiate favourable terms with suppliers, monitor budgets proactively, manage social and wellness spending, and flag emerging needs so we adapt spend to serve the team well.


  • Stakeholder Experience

Creating positive experiences for everyone who interacts with our office — whether clients, visitors or team members. You host with professionalism that reinforces our reputation, coordinate seamless travel and event logistics, and ensure every touchpoint reflects our care and attention.


  • Team Culture & Wellbeing

Creating moments that help our team feel valued and connected. Working with the Wellness Committee, you organise team social events, ensure all-staff meetings run smoothly, provide thoughtful refreshments, and notice small opportunities to lift team morale and strengthen how people feel about coming to work.

How you'll work


  • Collaborate with the Managing Director on priorities and strategic office decisions
  • Work independently with strong initiative to identify and solve problems
  • Gather regular feedback from the team about what's working and what could improve
  • Maintain strong relationships with suppliers and service providers
  • Balance proactive planning with flexibility to respond to emerging needs
  • Contribute positively to our collaborative and hardworking team culture


You'll partner with


  • Managing Director: to shape priorities and ensure alignment
  • Whole team: gathering input on pain points and needs
  • Finance and operations: coordinating budgets and compliance requirements
  • Wellness Committee: to deliver social events and uplift team morale 
  • External suppliers and service providers: maintaining quality and value

Practical details


Hours: 24 hours per week, worked as either 3 days x 8 hours or 4 days x 6 hours

(flexible to suit your schedule)

Location: London, on-site (all hours)

Employment Type: Permanent, Part-Time

Reporting to: Managing Director


This role could be well suited to someone with school-age children, as the hours can be tailored to fit around school schedules: we're flexible on whether you work 3 longer days or 4 shorter days.
