Office Manager

Cambridge, England, United Kingdom Full-time Posted 1 week ago
We’re looking for an organised, energetic and proactive Office Manager to join our team and oversee the day-to-day running of our office, based in the Cambridgeshire countryside. As Flok continues to scale, creating a workplace where the whole team thrives is more important than ever. You’ll be the driving force behind our workplace and be responsible for overseeing everything from facilities, supplies and health & safety to team feasts, company offsites and other culture building team events. You’ll also manage our in-house film studio, and play a key role in the production of content for the Flok app.

What you'll do

  • Own and manage the day-to-day running of the office and be the go-to person for how everything works
  • Manage office supplies, deliveries, post and workplace equipment
  • Keep the whole office organised, tidy and running efficiently, ensuring workspaces and meeting rooms are always ready for the team
  • Manage supplier and vendor relationships: cleaners, caterers, office equipment providers, and keep track of budget
  • Own health & safety for the office: risk assessments, fire safety, and making sure we meet all relevant standards, acting as the go-to person when something needs fixing
  • Organise team culture events: monthly team feasts, offsites and socials, plus the smaller moments that help the team feel connected and make Flok a great place to work
  • Support onboarding for new starters: desk setup, equipment, and a clear plan for when they join
  • Manage the filming studio and the process for shooting video content for the Flok app: ensuring the space and equipment are always ready to use
  • Continuously look for ways to make the Flok office even better!

We're looking for someone who

  • Has previous experience in an office management or similar operations role, ideally from a fast-paced start-up.
  • Is organised and reliable, and can manage multiple ongoing tasks without things slipping
  • Communicates clearly with people at all levels, from new starters to senior leadership
  • Pays attention to the details that make an office and a team feel well run
  • Takes initiative by spotting what needs doing before being asked, and follows through
  • Can manage a varied workload across admin and logistics, with a solutions-focused mindset. Has a genuinely positive, team-first attitude
  • Is comfortable with a role that will evolve as the company grows

What We Offer

  • Challenging work at the frontier of AI-native healthcare
  • In-person collaborative culture in a beautiful work space in the Cambridgeshire countryside
  • An onsite gym and digital health subscription of your choice
  • Early stage equity with employee-friendly terms (via an EMI scheme)
  • Comprehensive medical coverage (including dental and optical) and life insurance
  • Optional remote working on Wednesdays, with an annual allowance of 10 extra remote days
  • Desk setup allowance for your favourite keyboard / mouse / whatever!
  • Monthly team feasts (and the BBQ is used most days)
  • A fast paced work environment geared towards excellence and professional growth (with annual training budget)
  • A chance to have a big impact in a small team transforming care and outcomes at population scale
