Position Summary

Omni Bridgeway is seeking a highly organized and detail‑oriented Office & Marketing Assistant to provide administrative and operational support to the London office and the broader EMEA region. This role focuses on office administration, coordination of regional business and marketing activities, and day‑to‑day support for senior leaders within a global professional services environment.

The ideal candidate is proactive, dependable, and solution‑focused, with strong written and verbal communication skills. They are comfortable managing multiple administrative priorities in a fast‑paced setting and are committed to providing high‑quality support across all levels of the organization. The ability to interact confidently with senior stakeholders, exercise sound judgment, and handle sensitive information with discretion is essential.

Role Responsibilities

Business & Office Support (London / EMEA)

  • Day‑to‑day administrative support for the London team, with ad hoc EMEA support via a centralised admin portal
  • London office management, including liaison with building management, facilities providers, and IT
  • Coordination of meeting rooms, visitor reception, team lunches, and office supplies
  • Organisation of internal and external meetings, events, and team activities
  • Travel coordination (flights, accommodation, ground transport)
  • Invoice processing, expenses, and payment requests via Workday and corporate credit card
  • Document management, formatting, archiving, and DocuSign execution support
  • Co‑management of the EMEA Support inbox and handling of IMS and Global Alert entries
  • Fire Warden responsibilities for the London office

Marketing Coordinator (EMEA)

  • Provide operational support to the EMEA Business Development & Marketing Director
  • Support execution of regional events, conferences, and professional memberships
  • Manage marketing invoices and expenses, and maintain the global marketing calendar
  • Prepare and distribute the weekly marketing briefing
  • Support the preparation and submission of entries for legal directories and industry guides (e.g. Chambers, Legal 500)
  • Provide business development travel and scheduling support
  • Maintain the CRM system, ensuring business development data is kept accurate and up to date in collaboration with the wider team
  • Support event communications using HubSpot, including invitations and mailings
  • Draft concise and strategically relevant prep materials for Investment Managers engaging in client pitches, presentations, and BD trips (e.g. contact maps, bios, related news, case information)

  • Outstanding communication skills, both written and oral, in a corporate setting
  • Highly organized with exception attention to detail
  • Advanced research skills with ability to synthesize and analyze key data points
  • Strong process orientation and organizational skills - demonstrated ability to manage multiple projects simultaneously in a fast-paced professional services environment
  • Proactive perspective, excellent work ethic, and intellectual curiosity
  • Creative and collaborative approach
  • Confident working with and supporting senior stakeholders and external partners
  • Excellent Computer / IT skills (Microsoft Office Suite, CRM, and eMarketing systems) and an interest and ability to learn new systems

Required Skills And Experience

  • To be considered, candidates must have 2-3 years of relevant work experience, preferably within a marketing, law firm, financial services or professional services environment
  • Candidates must possess a relevant Bachelor’s degree from an accredited college or university
