Property Service Advisor

Starting salary £26,780 - £27,328 pa

As a property service advisor you will provide high‑quality administrative and advisory support that ensures the effective coordination, monitoring, and delivery of compliance, repairs and maintenance activities across St Anne’s Community Services.

The role supports safe, well‑maintained and warm environments for clients and colleagues by triaging repairs, liaising with colleagues & contractors, and upholding organisational standards and regulatory requirements.

Main duties of the job

Customer Service & Front‑Line Support:

  • Provide a high‑quality, customer‑focused and responsive helpdesk service.
  • Act as a focal point to receive, clarify and evaluate maintenance requests from customers
  • Provide advice to customers around all elements of repairs, maintenance, and facilities.
  • Respond to customers with repair order acknowledgements, completion dates, and follow‑up actions.

Work Order Management:

  • Assess the priority of work reported using current task definitions (emergency, urgent, routine, planned).
  • Raise work orders for in‑house teams and external contractors using current housing software.
  • Follow up on outstanding work with both internal and external contractors.
  • Ensure all work orders are recorded, monitored, updated and closed appropriately in the housing software.

Data, Systems & Record Keeping:

  • Ensure the housing software is kept up to date with all job information.
  • Maintain service records and effective filing systems, including creating spreadsheets to evaluate performance.
  • Provide statistical information from the systems in use.

Administration & Team Support:

Undertake day‑to‑day Property Services administration including:

  • Recording invoice
  • Collating delivery notes
  • Producing invoice reports
  • Recording maintenance staff timesheets
  • Provide administration support to team meetings.
  • Undertake ad‑hoc projects as required.
  • Provide support to other departments within Housing & Estates
