The Position
A dynamic and highly organised Receptionist and Studio Coordinator who is committed to maintaining an exceptional operational environment, supporting LOCK to deliver an elevated, premium experience. You will be self-motivated with a passion for high-end hospitality, client relations, and creative studio production. An ability to work under pressure with a collaborative, proactive attitude is required. This role requires strong administrative proficiency, exceptional communication skills, and the ability to seamlessly manage the front desk and live studio diary with minimal supervision.
Responsibilities:
Client Experience & Front of House
- Acts as the face of the LOCK space.
- Welcomes clients, coordinates their immediate arrival needs (coffee orders, keys, directions), and maintains an intimate, premium vibe - in line with LOCK standards.
- Manages the front desk of the LOCK space while balancing a digital workstation for bookings.
- Handles localised space admin and phone inquiries.
- Manages sign in process and visitor book to ensure compliance with Health and Safety regulations.
Bookings & Calendar Management
- Works alongside the wider studio team to help manage the live diary for the LOCK studios.
- Fields incoming inquiries, logs options, manages challenges, and processes final confirmations.
Finance & Commercials
- Generates accurate quotes/estimates for standard studio hires at LOCK.
- Tracks and adds on-the-day expenses (catering, extra kit) to final client invoices.
- Tracks daily occupancy data for the LOCK space.
- Ensures all client data is entered accurately into the booking system for reporting.
Team Coordination & Production
- Acts as the vital bridge between clients and the production / lighting teams on-site, ensuring shoot, catering, and kit requests are communicated early.
- Ensures the wider Studio team and Studio Manager are appraised with all relevant updates to ensure seamless operational efficiency across sites.
- Ensures all deliverables are catered for based on briefs and client booking specifications (e.g., lighting requests, bespoke furniture, catering or any other core requirements)
- Supports the booking of standard in-house freelance crew (e.g., catering assistants or runners) for LOCK shoots when requested.
Essential Skills and Requirements:
- Experience in a premium front of house, hospitality, or creative studio coordinator role.
- Strong communication and interpersonal skills to act as the face of the studio and deliver a high-end client experience.
- Proficiency in diary management, including fielding inquiries, managing booking challenges, and logging confirmations.
- Basic financial and administrative competence to generate accurate quotes and track on-the-day client expenses.
- Excellent coordination skills to act as a seamless bridge between clients, production teams, and on-site lighting crews.
- Strong attention to detail when entering client data and tracking daily studio occupancy metrics.
- Exceptional multitasking skills to handle phone inquiries and localized admin while managing a busy physical front desk.

Working Hours and Pay
Contracted working hours would be anywhere between 8-12 hours per day depending on studio requirements. Core working hours are 9am - 6pm but some days could be 8am-8pm. Pay would be at £14.80 per hour.
