We are looking for a proactive and organised Colleague Services Coordinator to provide day-to-day operational support within the Aviva corporate office environment.

Acting as the site lead and reporting to the Colleague Services Manager, you will take ownership of daily site responsibilities and help ensure the workplace operates safely, efficiently and seamlessly for colleagues and visitors. You will be the main point of contact for operational matters, supporting both hard and soft facilities management services while championing service excellence and a positive workplace experience.

Role Responsibilities

  • Facilities Coordination: Coordinate daily FM services, including cleaning, maintenance, mailroom, waste, catering and front-of-house guest services, while acting as the first point of contact for facilities queries and requests.
  • Contractor and Service Management: Schedule and supervise contractors and suppliers, ensure compliance with site procedures, and oversee helpdesk requests through to completion in line with agreed SLAs and KPIs.
  • Building and Workplace Standards: Support the monitoring of HVAC, lighting, access control and BMS systems, carry out regular floor walks, and promptly report defects or service issues.
  • Health, Safety and Compliance: Complete health and safety checks, support risk assessments and building inspections, maintain compliance records, and manage incident reporting and corrective actions.
  • Communication and Administration: Build strong stakeholder relationships, represent the FM function in meetings, communicate planned works and building updates, maintain asset registers and contractor logbooks, and support procurement, purchase orders, invoices, KPI reporting and performance dashboards.

Required Qualifications and Experience

  • Previous experience in a facilities management or workplace support role within a corporate or professional office environment.
  • Strong organisational and multitasking skills, with excellent attention to detail and the ability to prioritise effectively.
  • A good understanding of FM services and associated health, safety and compliance requirements.
  • Confident communication skills, with the ability to build positive working relationships and liaise professionally with stakeholders at all levels.
  • A proactive, hands-on and solution-focused approach, with the discretion, professionalism and confidentiality required to act as a trusted deputy to the Colleague Services Manager.
