About the role
RED is a global recruitment, staffing and consulting business with entities in the UK, the Netherlands, Germany, Poland, the US and India, placing contractors and consultants with clients around the world.
We're looking for a Compliance Assistant to join our Legal & Compliance team in London. You'll help make sure every contractor, consultant and supplier we engage across our international operations is properly checked, contracted and offboarded, and support the team on regulatory, client and insurer audits.
This is a front-line role. You'll work closely with sales consultants, project teams and candidates, often against tight deadlines. We need someone who gets the detail right and looks for a compliant route to a yes, rather than simply saying no.
Key responsibilities
- Candidate and contractor checks
- Carry out pre-placement checks: identity, right to work, visas and work permits, in line with UK Home Office requirements and local rules in each country where we place workers.
- Escalate complex onboarding cases, such as sponsored workers, cross-border and posted workers, and contractors working across several jurisdictions, to senior team members.
- Collect and check local onboarding documents in our other markets, including Form I-9 in the US and contractor tax and registration documents in Poland and India.
- Review company, tax and bank documents for limited company and consultancy contractors, and flag any concerns.
- Check contractor business insurance against client and company requirements, and chase renewals before cover lapses.
- Run sanctions screening on candidates, contractor companies and suppliers, and escalate potential matches.
- Check that client-specific screening (e.g. background, criminal record and credit checks) has been completed by the Contractor Care team before a placement starts, and escalate any gaps.
Worker status and agency worker rules
- Apply IR35 / off-payroll rules to UK placements, including obtaining and recording clients' Status Determination Statements.
- Apply the Agency Workers Regulations and the Conduct of Employment Agencies and Employment Businesses Regulations 2003, including Key Information Documents and tracking the 12-week qualifying period.
- Learn and apply European and international equivalents, including Dutch, German and Polish agency work and self-employment rules and US contractor classification, with support from senior team members.
Supply chain due diligence:
- Support due diligence and ongoing monitoring of umbrella companies, consultancies and sub-suppliers, and flag concerns about non-compliant arrangements.
Contracts:
- Produce candidate contracts and placement documents in the CRM, making sure the right client terms are flowed down.
- Give first-line responses to candidates who want to amend our terms of business, using the negotiation grid agreed with Legal, and escalate anything outside it.
- Process extensions, amendments, rate changes and novations.
- Process the termination of placements, including notices, return of client equipment and access, and escalate early or contentious terminations.
Audits and governance:
- Help senior compliance colleagues run statutory and regulatory audits in the countries where we have an entity (e.g. NEN 4400-1 in the Netherlands), gathering evidence from the business and maintaining audit files.
- Support insurer-driven audits and reporting, including IR35 insurance bordereau returns.
- Help prepare the business for client-led compliance audits.
Business support and process:
- Work through the compliance ticket queue (FreshService) within agreed service levels.
- Act as a day-to-day compliance contact for consultants, project teams and candidates, explaining what is needed and why.
- Help keep how-to guides and process notes current.
- Keep CRM records accurate and complete.
Essential skills and experience
- Experience in a compliance, onboarding, contracts administration or vetting role, ideally in recruitment, staffing or another regulated business.
- A basic understanding of UK right-to-work checks, IR35 / off-payroll and the Agency Workers Regulations, or the ability to learn them quickly (full training given).
- An interest in international compliance and the ability to pick up the rules in other markets we operate in (Netherlands, Germany, Poland, US or India).
- Confident use of a recruitment CRM and Microsoft Office.
- Clear, calm communication with sales teams and candidates, including when they are under pressure.
- A practical, problem-solving approach: you tick the boxes, but you also find solutions.
- Addition languages such as Dutch, German, or Polish an advantage
- Exposure to candidate or supplier contracts, sanctions screening tools or compliance audits.
