We are seeking a highly organised and proactive individual to step into a pivotal support role, empowering senior leaders who are shaping global marketing strategies. This is an incredible opportunity to be the central point of coordination for multiple Directors, directly influencing their efficiency and effectiveness in a fast-paced, international landscape. You will play a crucial role in enabling groundbreaking initiatives and ensuring the smooth operation of high-level strategic partnerships, making a tangible impact on the company’s ability to connect with audiences across diverse markets.

This is a short-term contract, offering up to £269.23 per day (PAYE). This role requires you to be on-site 3-4 times per week. The shortlisted candidates will be contacted by Friday 9th Oct at 3 PM.

Responsibilities

  • Provide comprehensive administrative support across three Directors, each with diverse global and regional remits.
  • Manage complex tasks and calendars for multiple senior leaders, including booking and confirming large cross-functional meetings across various time zones.
  • Proactively manage senior leaders’ calendars, balancing competing priorities, resolving conflicts, and ensuring time is allocated effectively across internal and external commitments.
  • Organise and support various team events, including offsites and training sessions.
  • Coordinate complex domestic and international travel arrangements.
  • Perform general administrative duties such as raising purchase orders, submitting and reconciling expenses, maintaining Google group distribution lists, circulating NDAs/contracts, and consistently updating documents on behalf of the Directors and the wider team.
  • Act as a trusted, highly organised point of support for the Directors, proactively anticipating needs and exercising sound judgment.
  • Manage heavy internal and external communication.
  • Work closely with wider teams across various regions.
  • Build strong working relationships with peers and teams globally.

Must-Have Qualifications

  • Experience as an administrative assistant supporting at Director level or above.
  • Experience working with international teams and across multiple time zones.
  • Ability to manage multiple projects simultaneously and work effectively both independently and as part of a team.
  • Strong organizational skills and unwavering attention to detail.
  • Resilience and flexibility to adapt to changing priorities in a dynamic environment.
  • Proficiency in Google Suite and comfort with using various online tools.
  • Experience using AI‐enabled tools and a keen interest in learning how new technologies can support administrative work.
  • Willingness to make informed decisions and propose creative solutions.
  • Ability to handle confidential or sensitive information with the utmost discretion.
  • Self-motivated, proactive, quick-thinking, and flexible, with excellent communication skills.
  • Curious, demonstrates significant initiative, proactive, and inherently exercises good judgment.

Nice-to-Have Qualifications

  • Previous experience within a Marketing function.
