Brief Description
HR Administrator
ESP Global Services | Reading, Berkshire
Help us make every employee experience a great one.
At ESP Global Services, our people are at the heart of everything we do. As a global IT managed services organisation supporting customers across more than 150 countries, we know that delivering exceptional service starts with how we support our own colleagues.
We're looking for a HR Administrator to join our People Experience team in Reading. This is an opportunity for someone who enjoys working with people, takes pride in getting the details right and is always looking for ways to make things work better.
You'll play an important role in supporting employees throughout their journey with ESP, from preparing for their first day to recognising their achievements and ensuring a positive experience when they move on.
But this isn't just about administration. We're looking for someone who can combine excellent organisation and customer service with a genuine interest in improving processes, embracing technology and making HR services more efficient, accessible and human.
What you'll be doing
Employee lifecycle and HR administration
- Coordinate employee onboarding and offboarding activities, ensuring a smooth, professional and well-organised experience.
- Manage pre-employment checks, including right-to-work verification, background screening, medical checks where required and employment references.
- Prepare employee correspondence, employment confirmations and other HR documentation.
- Maintain accurate and confidential employee records within our HR systems.
- Respond to day-to-day enquiries from employees and managers, providing clear, timely and helpful support.
- Support employee recognition programmes, service awards and routine HR reporting.
- Provide administrative support to colleagues across our international operations, following relevant local processes and requirements.
Creating a Positive Employee Experience
- Build a welcoming and supportive experience for new colleagues through personal contact, including first-week check-ins and follow-up conversations.
- Act as an approachable point of contact, helping employees navigate processes and access the support they need.
- Work with managers to ensure new starters receive the right information and communication ahead of joining.
- Gather employee feedback, identify recurring concerns and contribute ideas that improve the employee journey.
- Help ensure that our processes remain personal and engaging, even as we introduce greater automation.
Improving How We Work
- Identify opportunities to simplify administration, eliminate duplication and improve the efficiency of People processes.
- Support the development of automated workflows, notifications and communications using our HR technology and Microsoft tools.
- Help document and maintain clear, consistent processes and working instructions.
- Support People projects through research, reporting, data analysis and practical process improvements.
- Work collaboratively with colleagues to improve service delivery and the overall employee experience.
Requirements
What we're looking for
We're particularly interested in someone who combines strong administrative capability with curiosity, initiative and a genuine interest in people.
You'll Ideally Bring
- Around two years' experience in an administrative, HR support or customer-facing service role.
- Excellent organisation, attention to detail and the ability to manage competing priorities.
- Confident written and verbal communication skills, with a friendly and professional approach.
- A strong customer service mindset and the ability to handle sensitive information with discretion.
- Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook.
- An interest in technology, process improvement and automation; experience with Power Automate or HR systems would be an advantage.
- A proactive approach to problem-solving and a willingness to learn, challenge existing ways of working and contribute new ideas.
Previous HR administration experience would be beneficial, but we're equally interested in candidates with strong transferable skills, the right attitude and the motivation to develop within a People function.
Why join ESP?
You'll be joining a collaborative People team supporting a diverse, international workforce in a business where no two days are quite the same.
You'll have the opportunity to develop your HR knowledge, gain exposure to global People operations and contribute to the continued improvement of our employee services and technology.
Most importantly, you'll have the opportunity to make a meaningful difference to how colleagues experience working at ESP.
Interested?
If you're organised, approachable, enjoy solving problems and believe that great employee experiences come from both efficient processes and genuine human connection, we'd love to hear from you.
