OPERATIONS CO-ORDINATOR
Location: West London (Full Time – 3 month contract)
Department: Operations & Supply Chain
Reporting to: Supply Chain Manager
Salary: Up to £37,000 (pro-rata)
THE ROLE
We are looking for an organised, proactive and detailed focused Operations Co-ordinator to join our busy Operations Department. The role will support the day-today running of the operations functions, ensuring order shipments, returns and administrative processes are managed accurately and efficiently.
Working closely with the Operations team, 3PL warehouses, Ecommerce, Finance & Sales, the role will play an important part in ensuring our customers and wholesale partners receive a seamless service. This is an ideal opportunity for someone looking to gain experience within Operations, Logistics and Supply Chain in a fast-paced luxury fashion environment.
KEY RESPONSIBILITIES
B2B & WHOLESALE OPERATIONS
· Assist with the processing and shipment of B2B/Wholesale orders
· Maintain shipping documentation and customer/vendor requirements
· Manage customer booking-in portals and shipping requirements
· Ensure compliance with customer routing guides, carton labelling, ASN requirements, and delivery windows
· Coordinate palletised and parcel shipments where required
· Support additional outbound process activities as volumes scale
E-COMMERCE OPERATIONS
· Support the day to day processing of E-Commerce and Marketplace orders and shipments
· Liaise with 3PL warehouses to ensure orders are picked, packed and dispatched accurately and on time
· Monitor order status and investigate shipment delays or discrepancies
· Support the processing of customer returns, refunds and faulty items in collaboration with the Ecommerce team
· Liaise with Customer Service and 3PL warehouses to resolve customer order queries
ADMINISTRATION
· Update spreadsheets, trackers and systems with accurate information
· Download, file and maintain POD documents from carriers and warehouse systems, ensuring records are complete and easily accessible for audit * finance purposes
· Assist with season preparation such as AW/SS launches, off-price orders, shipment planning
· Support general admin duties including document filing and maintaining accurate shipment and delivery records
· Participate in team meetings and cross-alignment meetings
SKILLS & EXPERIENCE
· Previous experience in an operations, logistics, supply chain or related administration role
· Strong organisational and time-management skills
· Excellent attention to detail and accuracy
· Strong Excel skills including V/X lookup, pivot tables and basic data analysis
· Ability to manage multiple priorities and work to deadlines
· Strong communication skills with confidence to liaise with internal and external partners
· Ability to work independently while being a strong team player
