About Greenwoods

At Greenwoods, we are proud to be different. We combine serious legal capability with a culture built on respect, excellence, freedom, and fun. We are commercially ambitious, PE-backed, and growing - but we have not lost sight of what matters. Great people doing great work for clients and being themselves while they do it.

We are building a firm that sounds like people, not an institution. Our approach is grounded in commercial acumen and real commitment to our clients and to each other.

About the role

Our Risk & Compliance team makes sure the firm meets its regulatory requirements and builds a culture of compliance that helps us meet and where we can, exceed what our clients expect. The team supports lawyers and business support colleagues across the firm with a wide range of day-to-day compliance matters.

As Risk & Compliance Team Assistant, you will support the team's work across the firm, particularly for our Private Wealth and Real Estate teams. You will look after requests to release deeds, documents, and files, and handle general compliance queries from colleagues.

You will also train as an AML analyst and spend around three days a week working in our client onboarding function. The rest of your week will be varied, from weekly reporting to project work and whatever else the team needs.

Key responsibilities

Deeds, documents, and file releases

  • Handle requests to release deeds, documents, and files for the Private Wealth and Real Estate teams.
  • Review each request and make sure we have the necessary ID and authority to release.
  • Search our systems and request the items needed.
  • Review the items, especially files, before arranging their release.

Client onboarding

  • Train as an AML analyst and support our client onboarding function for around three days a week.
  • Follow the firm's processes and procedures, and promote best practice in using our case management system to take on new clients and matters.
  • Make sure client details are entered correctly on our case management system, and check the accuracy of our databases.

Compliance support and reporting

  • Handle general Risk & Compliance queries by email and phone, giving desk-side or remote support where needed.
  • Assist with weekly compliance officer reporting.
  • Deal with queries from the Finance team.
  • Carry out related admin, such as scanning and filing documents to our case management system, sending diary reminders, and helping with PII renewals.
  • Escalate any concerns to the General Counsel & Partner.
  • Look for ways to improve our systems and procedures.

Team support

  • Provide general support to the General Counsel & Partner, Head of Compliance and the wider Risk & Compliance team.
  • Get involved in project work and help with anything else the team needs.
  • Contribute to firm initiatives, including attending seminars where needed.
  • Cover for colleagues during holidays, illness, and other absences.

What success looks like

This role is measured on its contribution to keeping the firm compliant and well organised. Key success measures include:

  • Deed, document, and file releases are handled promptly, with the right ID and authority checked every time.
  • New clients and matters are onboarded accurately and in line with our AML requirements.
  • Client and matter details on our case management system are accurate.
  • Weekly compliance officer reporting is accurate and on time.
  • Colleagues get quick, clear answers to their compliance queries.
  • The team can rely on you to take ownership of issues and follow them through.

Experience and qualities

You do not need any previous experience or knowledge of risk and compliance. We will train you and help you build a good understanding of the regulatory environment we work in, including the SRA Standards and Regulations, the anti-money laundering regulations, and Legal Sector Affinity Group (LSAG) guidance.

This role suits someone organised and precise, who enjoys being the person colleagues can rely on. You will be someone who:

  • Has great organisational skills and stays calm under pressure, prioritising work from different sources with competing deadlines.
  • Pays close attention to detail and takes care to get things right.
  • Communicates well and is comfortable working with colleagues at all levels, and directly with clients.
  • Takes pride in their work, takes ownership of resolving issues, and follows things up.
  • Is self-motivated and a team player who enjoys helping others.
  • Has a good working knowledge of Microsoft Office and can quickly learn new systems, including our case management system.
  • Can handle confidential information with care.
