This is an excellent opportunity for someone with a strong background in document services, reprographics, print room, mailroom or workplace services who enjoys leading by example and supporting a high-performing team.

This is a hands-on operational role where you will act as the senior member of the on-site team, overseeing daily operations, coordinating workloads and ensuring exceptional service delivery. Working closely with the Document Services Manager, you will provide guidance, support and leadership to Document Services Operatives while maintaining the highest standards of quality, productivity and customer experience.

Key responsibilities include

  • Coordinating workloads to ensure deadlines and service levels are achieved.
  • Providing day-to-day coaching, guidance and training to team members.
  • Monitoring quality, productivity and compliance standards.
  • Delivering print, scanning, reprographics, binding, laminating and document finishing services.
  • Managing incoming and outgoing mail, courier services and internal distributions.
  • Building strong relationships with clients and responding professionally to requests and queries.
  • Maintaining operational records and reporting information.
  • Supporting continuous improvement initiatives and service enhancements.
  • Ensuring compliance with information security, confidentiality and health and safety requirements

A typical working pattern is Monday to Friday, 37 hours per week.

This is a fully site-based role and requires attendance at the designated work location five days per week. Due to the nature of the role, remote or hybrid working is not available.

SKILLS AND EXPERIENCE REQUIRED

  • Previous experience within a document services, reprographics, print room, mailroom or workplace services environment.
  • Experience supervising, coordinating or leading a small team.
  • Strong customer service and stakeholder management skills.
  • Ability to prioritise competing workloads and meet tight deadlines.
  • Excellent communication and interpersonal skills.
  • Experience operating print and finishing equipment.
  • Knowledge of scanning, document production and mail services.
  • Strong attention to detail with a focus on quality and accuracy.
  • Good IT skills, including Microsoft Office applications.
  • Ability to identify service improvements and drive operational efficiencies.
  • Professional, proactive and solutions-focused approach.
  • Commitment to maintaining confidentiality and information security standards.
  • Understanding of health and safety procedures within a service environment.

We value candidates with AI literacy – individuals who are curious about technology, comfortable exploring automation, and eager to contribute to a modern, forward-thinking business.
