Legal Administrator

Licensed sponsor Salford Full-time Posted 2 days ago

Are you highly organised, confident working with numbers and looking for an opportunity to build your experience within a busy in-house Legal team?

We’re looking for a Legal Administrator to join our UK & Ireland Legal team. This is a varied role where you’ll play an important part in keeping the department running smoothly, from managing legal invoices and purchase orders to producing spend reports, maintaining legal records and providing day-to-day administrative support.

You’ll work closely with colleagues across the Legal team, the wider business and external law firms, making this a great opportunity for someone who enjoys variety, takes ownership and is comfortable managing multiple priorities.

The role is a 12 month fixed term contract

What you’ll do

As Legal Administrator, your responsibilities will include

  • Managing and processing legal invoices, ensuring payments are accurate and completed within agreed timescales and policies.
  • Creating and managing purchase orders and supporting the approval of legal spend.
  • Setting up matter codes and maintaining information within our Matter Management System.
  • Liaising with internal stakeholders and external law firms to obtain cost estimates and resolve invoice or payment queries.
  • Supporting the monitoring and reporting of the Legal department budget and spend.
  • Producing monthly Legal WIP reports and assisting with Excel-based reports, spreadsheets and graphs.
  • Supporting the Employment Legal team with the administration of claims and matters, including maintaining case files and records.
  • Maintaining the contract database and ensuring contracts and associated documentation are filed appropriately.
  • Supporting vendor governance and administration for the Legal team.
  • Coordinating the onboarding of new Legal team members, including IT equipment, system access and induction schedules.
  • Managing requests received through the shared Legal Admin mailbox.
  • Providing wider administrative support including document formatting, travel arrangements, couriers, IT equipment and other ad-hoc requirements.
  • Supporting Legal team training and contributing to projects as required.

What you’ll bring

We’re looking for someone who is organised, proactive and comfortable taking ownership of their workload. You’ll ideally have:

  • Previous experience in an administrative, finance administration, legal support or similar professional environment.
  • GCSE Maths and English, or equivalent qualifications.
  • Good working knowledge of Microsoft Office, particularly Excel, Word and PowerPoint.
  • Experience using SAP or similar finance/procurement systems would be advantageous.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and a methodical approach to your work.
  • Confidence communicating with stakeholders and suppliers, including appropriately challenging queries where necessary.
  • The ability to prioritise effectively and manage conflicting deadlines.
  • A high level of discretion and confidentiality when handling sensitive information.
  • The ability to work independently while contributing effectively as part of a wider team.
  • A proactive, positive and solutions-focused approach.

This is a great opportunity to become part of a collaborative UK & Ireland Legal team and gain exposure to a broad range of legal operations and business activities.

You’ll have the opportunity to develop experience across legal finance, matter management, employment claims, reporting, vendor management and general legal operations, making the role particularly suited to someone who enjoys variety and wants to broaden their experience within an in-house Legal function.
