The opportunity

We are looking for an experienced and proactive Personal Assistant to become a trusted partner to our senior leaders within our Birmingham office. This is a visible and varied role with the opportunity to improve how our leadership team operates, coordinate important business activity and contribute to the continued growth of the office.

You’ll primarily support the 3 equity partners within the office leadership team, with the autonomy to manage complex priorities, anticipate what is needed and build strong relationships across the team. Alongside high-quality executive support, you will contribute to business planning, recruitment, team engagement and office initiatives, giving you broad exposure to the way a growing multidisciplinary consultancy operates.

What you will do

  • Executive support and coordination
    • Act as a trusted point of contact for the Equity Partner and designated senior leaders, managing complex diaries, meetings, priorities and correspondence with sound judgement and discretion.
    • Coordinate leadership meetings, quarterly reviews and one-to-ones, including agendas, papers, logistics, actions and follow-up.
    • Proactively track and follow up on actions and key deliverables across the leadership team and direct reports, helping to ensure commitments are progressed and deadlines are met.
    • Arrange UK and international travel, accommodation and detailed itineraries.
    • Prepare high-quality presentations, reports, management information and business documentation.
  • Business planning and operations
    • Coordinate agreed business planning activity and office initiatives, maintaining clear actions, timescales and ownership.
    • Produce and maintain operational and project or submission reporting, ensuring leaders have timely and accurate information.
    • Coordinate document management, witnessing and signing processes, and agreed financial administration activity.
    • Identify opportunities to improve administrative processes and the effectiveness of leadership support.
  • People, recruitment and engagement
    • Coordinate recruitment activity, interviews, onboarding and new starter inductions in partnership with hiring managers and the People team.
    • Prepare and deliver office information sessions and presentations for new joiners.
    • Coordinate mentoring, team engagement and other agreed people initiatives.
  • Build effective relationships with colleagues, clients and external contacts, representing the Birmingham office professionally.

What you will bring

  • Previous experience as a Personal Assistant, Executive Assistant or Senior Administrator supporting senior stakeholders.
  • Excellent diary, meeting and travel management skills, with the ability to coordinate complex and changing schedules.
  • Strong Microsoft 365 skills, particularly Outlook, Word, Excel and PowerPoint.
  • The ability to produce accurate, well-presented reports, presentations and business documentation.
  • Experience in professional services, property, engineering or construction would be useful but is not essential.

What will help you succeed

  • You are comfortable taking ownership, exercising judgement and respectfully challenging priorities when necessary.
  • You anticipate issues, identify practical solutions and follow actions through to completion.
  • You communicate confidently with senior colleagues, clients and external contacts.
  • You remain organised and composed when priorities change.
  • You handle sensitive information with sound judgement and discretion.
  • You build strong working relationships and contribute positively to a collaborative office environment.

What you can expect from us

You will join a collaborative, multidisciplinary consultancy where you can build strong relationships, gain broad exposure to business activity and make a visible contribution to the success of the Birmingham office. The role offers scope to take ownership, improve ways of working and develop your knowledge across leadership support, business operations, recruitment and office engagement.
