Overview

This is a new role within the company, required due to increase workloads of the department. The right candidate will be a hard-working individual with excellent communication skills and high attention to detail. The role is mainly office-based with some site visit’s if required. The role will require training in Coins OA, you will be required to send invoices between sites, departments, individuals, and the input of invoices to be processed for payment. Some knowledge of systems would be a benefit; however full training will be provided. If you have experience of construction sites from an administration side this would be a benefit.

This is a full-time, permanent Position.

Office based (Staines Office) - Monday to Friday

Duties Of The Role

  • Recording and reconciling all goods and materials received on construction sites against approved purchase orders and delivery documentation.
  • Identifying discrepancies and investigating variances, coordinating corrective actions with suppliers and internal stakeholders.
  • Maintaining accurate records of outstanding discrepancies and resolution status.
  • Engaging directly with suppliers, sites & purchasing to resolve delivery discrepancies.
  • Requesting and tracking credits where overcharges, shortages, or incorrect deliveries occur.
  • Working closely with site management, engineers, quantity surveyors, and procurement personnel to resolve order-related issues.
  • Liaising with the individual who raised the purchase order where amendments, corrections, or additional authorizations are required.
  • Obtaining supporting documentation and approvals to validate any changes to original purchase orders. This role is critical for preventing overpayments and resolving supplier discrepancies, supporting the three-way matching process between procurement, site operations, suppliers, and finance. It serves as a key control point between procurement, site operations, suppliers, and finance, helping to safeguard project costs and maintain strong supplier relationships.

Skills / Experience Required For The Role

  • Excellent IT skills and a strong working knowledge of Microsoft suite
  • Excellent communication skills both written and verbal
  • Good time management and organisation skills
  • Ability and Willingness to work on own initiative but also capable of working as part of a team
  • Ability to work well under pressure and within a strict deadline environment
