Studio & Office Coordinator

Licensed sponsor London Full-time Posted 1 day ago

About the role

CELINE Interior Design is seeking an exceptionally organised, proactive and outgoing Office Manager to join our London studio.

This is an exciting opportunity for a highly capable individual who thrives in a fast-paced, creative environment and enjoys being at the heart of a busy interior design studio. The successful candidate will play a key role in ensuring the smooth day-to-day running of the studio, providing essential administrative, organisational and operational support to the wider team.

We are looking for someone who is naturally organised, confident with technology, resourceful and personable, with a positive, can-do attitude and the ability to juggle multiple priorities. This is much more than a traditional office administration role; it requires someone who can bring structure, efficiency and energy to a creative working environment.

Key responsibilities

Studio & Office Management

  • Oversee the day-to-day running of the London studio, ensuring it operates efficiently and professionally.
  • Maintain an organised, welcoming and well-presented studio environment.
  • Manage office supplies, equipment, stationery and general facilities.
  • Coordinate meetings, appointments, studio events and team schedules.
  • Welcome clients, suppliers and visitors, providing a warm and professional first impression.

Creative Administration & Project Support

  • Provide administrative support to the interior design team across multiple projects.
  • Assist with the preparation, formatting and organisation of presentations, proposals and project documentation.
  • Manage project files, digital folders, databases and studio records.
  • Assist with sourcing information, product research, samples and supplier correspondence.
  • Coordinate deliveries, samples, couriers and supplier communications.
  • Help maintain project schedules, deadlines and key administrative trackers.
  • Support the team with general creative and project-related administrative tasks.

Team & Business Support

  • Act as a central point of contact for the studio, facilitating communication between the team, clients and external suppliers.
  • Manage incoming correspondence, telephone calls and general enquiries.
  • Coordinate travel arrangements, meetings and hospitality where required.
  • Assist with expenses, invoices, purchase orders and general financial administration.
  • Identify opportunities to improve office systems, processes and ways of working.

The ideal candidate

We are looking for someone who is

  • Exceptionally organised: Able to manage multiple tasks, deadlines and competing priorities without losing attention to detail.
  • Tech savvy: Confident using Microsoft Office, Google Workspace and digital systems, with an aptitude for learning new software and technology.
  • Outgoing and personable: A confident communicator who enjoys interacting with people and building positive relationships.
  • Proactive and resourceful: Someone who takes initiative, anticipates what needs doing and finds solutions rather than waiting to be asked.
  • Adaptable and energetic: Comfortable working in a fast-paced, ever-changing creative environment.
  • Detail-oriented: Takes pride in accuracy, presentation and maintaining high standards.
  • A team player: Approachable, enthusiastic and happy to support wherever needed.
  • Creative-minded: Has an appreciation for interiors, design, aesthetics and the creative process.

Experience & skills

  • Previous experience in an office management, studio coordination or senior administrative role.
  • Experience within an interior design, architecture, creative or luxury environment would be advantageous.
  • Excellent written and verbal communication skills.
  • Strong organisational and time-management abilities.
  • Confident IT skills and a willingness to embrace new technology.
  • Ability to work independently, use initiative and manage a varied workload.
  • A professional, polished and positive approach.

What we offer

The opportunity to become an integral part of CELINE Interior Design’s London studio, working alongside a creative and ambitious team on exciting interior design projects.

This is a varied and rewarding position for someone who enjoys taking ownership, making things happen and contributing to the overall success and atmosphere of a creative studio.

The person we are looking for: Someone who is the heartbeat of the studio — organised, switched on, naturally sociable and always one step ahead. Someone who brings order to creativity, enjoys being busy and takes genuine pride in making a studio run beautifully.
